Summary:

We are currently seeking a Workplace Experience Specialist to join our Workplace Experience team. This is a full-time in-office position for candidates who live in Toronto only.

What your team does:

This role reports directly to the Manager, Workplace Experience and is part of the global Workplace Experience (WX) team. The WX team works closely to manage Clio spaces, design solutions for facility concerns, learn and share knowledge, and to create a truly unique workplace experience for all. In addition, the WX team provides operational support to employee events and People programs, working collaboratively with the People department functions as well as cross-functional teams. 

Who you are:

This role will be solely office-based, and will be directly involved in supporting employee events and programs in your local office and community.  Most importantly, in this role, you are a key support for all employees in the region, championing Clio's values supporting business priorities, and facilitating an exceptional, and uniquely local, workplace experience.

What you’ll work on:

  • Front office management and reception, including visitor and employee sign-in and access systems, mail management, and all other shipping/receiving

  • Orienting employees and guests to the space through conducting site tours and wayfinding

  • Maintenance of office space, ensuring they are well-stocked, clean, and welcoming; including light cleaning of communal spaces

  • Identify facility deficiencies, coordinate repairs, and track deficiency status

  • Maintenance of facility, completing regular facility inspections, keeping up-to-date facility inspection records, and coordination with building services for repairs and maintenance

  • Act as the local contact for planning and coordination of onsite design-build projects, renovations, and office relocations as needed

  • Planning, coordination, communication, and hosting of internal and external events, including company meetings, monthly mixers, holiday parties, and team socials/on-sites

  • Maintain workplace policies and procedures to ensure compliance with local and federal regulations

  • Collaborate with cross-functional teams, including People, IT, and OCEO, to ensure workplace policies and programs are executed and aligned with business objectives

  • Regular facility inspections to ensure all mechanical, electrical, and structural systems are operational

  • Oversight of the physical security of Clio's office ensuring secured systems are operational, site access badges are managed, and liaising IT/Security team as needed

  • Sit on the Global H&S Committee and assist with H&S investigations as needed

  • Assist with workplace technology systems, including AV equipment, video conferencing systems, and space operations software

  • Manage vendor relationships for F&B, socials, and office supplies

  • Tracking and processing workplace experience expenses through internal software programs

  • Collect and analyze data to measure the effectiveness of workplace experience programs and recommend improvements

  • Employee Experience projects as required

What you may have:

  • 2+ years of experience in office administration or facility coordinator within a corporate office environment

  • 1+ years experience coordinating in-office and/or virtual events

  • OHS First Aid level 2

Serious bonus points if you have:

  • Experience with Slack, Confluence, Asana, and Google Drive

  • Food Safety level 1 certification

The full salary range* for this role is $68,900 to $81,100 to $93,300 CAD..

*We aim to hire all candidates between the minimum and the midpoint of the full salary range. We reserve the midpoint to the maximum of the salary band for internal employees who demonstrate sustained high performance and impact at Clio. The final offer amount for this role will be dependent on individual experience and skillset of the candidate. Please note there are a separate set of salary bands for other regions based on local currency.
