Creative Operations Coordinator (12 Month Contract)

Summary:
We are currently seeking a Creative Operations Coordinator (12 Month Contract) to join our Strategy and Enablement team. This role is available to candidates across Canada, excluding Quebec, and can be performed remotely.
What we are looking for:
The Creative Operations team partners closely with the sub-teams across Marketing, focusing on ensuring work can be completed by members of the team on time and with the right context. This team is responsible for conceptualizing, building, and implementing processes that safeguard project workflows, deadlines, creative bandwidth, and overall project delivery.
We’re looking for someone who can support the Creative Operations Manager and thrives in an organized, process-driven environment. This role will involve working within our project management tool, Asana, and requires excellent communication skills, the ability to foster positive relationships across teams, a collaborative mindset, and strong problem-solving abilities.
Reporting to the Creative Operations Manager and Director of Strategy and Enablement, you will play a crucial role in supporting the efficient operation of creative projects and processes.
What you’ll be doing:
Review incoming project requests, assess requirements, and prepare tickets in Asana for resourcing
Act as a liaison between requestors and the Content & Creative teams by gathering missing details from requestors as needed to ensure the creative teams have all the information required to deliver high-quality work.
Help refine and implement processes that drive efficiencies and improve team workflows.
Assist with the adoption and optimization of Asana for project management and reporting.
Help monitor the day-to-day of our Digital Asset Management System and support easy and consistent search and delivery of assets.
Proactively identify areas for improvement within workflows and tools, suggesting solutions to elevate efficiency and creativity.
Help document new processes and maintain systems as they are implemented .
Monitor sub-department Slack channels to address inquiries and ensure questions are directed to the appropriate team members.
What you should have:
2 - 3 years of project coordination, creative operations, or related fields.
A knack for and personal enjoyment of monitoring progress, keeping projects on track, and maintaining order and efficiency behind the scenes
Familiarity with project management tools, specifically Asana, and experience managing tasks, timelines, and resources within similar systems.
Proactive problem-solver with a “can-do” attitude, able to adapt quickly to changes and challenges.
Strong organizational and multitasking skills, with the ability to manage multiple projects and priorities simultaneously.
Excellent communication and collaboration abilities to work across teams and ensure alignment.
Understanding of creative production cycles, including briefing, review cycles, and asset delivery.
Strong internist and/or experience with Digital Asset Management (DAM) systems for organizing and managing creative assets.
Bonus points:
Familiarity with creative tools like Adobe Creative Suite to understand file types and asset requirements (even at a basic level)
Past experience working in a Saas company, especially within a Marketing or Creative team context.
The expected new hire base pay for this role is $5,000/month.
